Volunteers!

The success of our events would not be possible without the numerous volunteers who generously offer their time to support this great event. QSMSports is constantly looking for motivated volunteers to be part of such a big day for the athletes.

We always need help and would love for you as an individual, club or organisation to come out and join us!

In order to make each of our events a reality, we recruit the help of local volunteer heroes and community organisations. These remarkable volunteers provide raceday assistance in exchange for a variety of benefits for both individuals and groups.

All volunteers will receive the following:

  • Volunteer T-Shirt or hat
  • Event & Festival Atmosphere
  • Post Race Food
  • Experience organising events
  • Certificate of appreciation 
  • The amazing experience of supporting others.

Individuals & small groups also receive the following benefits by volunteering:

  • If you want to race at our race and your spouse/partner wants to volunteer at the same event for us we'll apply a 50% discount to your registration fee.

Non Profits, Organisations and/or Fundraiser groups receive the following benefit:

  • Negotiable donation in exchange for a group of 10 volunteers.

Below is a description of the positions available to give you an idea of what is expected of you and how much time you will have to dedicate to the role.

Numbers

Administration/
Registration

To ensure that all participants are registered for the event and have valid licences when applicable. To give race numbers, race packs and timing chips out. Other duties include:

  • Sign on/ Sign Off
  • Display results
  • Main hub for communication to participants
  • Bag Room for participants
  • Body marking.

30 volunteers, then move into relevant teams.
Report to Admin Manager.

Event setup

  • Setup of courses
  • Setup of registration area
  • Set up sponsorship flags and expo area
  • Set up and management of presentations
  • Ensure trophies, prizes and medals are in order
  • Assist prize presentation manager to pass out the trophies, medals & prizes to presenter

 

Expo/ VIP
Staff

  • Attend the need of VIPs
  • Keep area clean
  • Assist with setup.

 

Car park Marshal

  • Guiding competitors to the designated car parking areas and if necessary to registration.

2 volunteers.
Report to Event Manager.

Swim Marshal

  • Ensure all participants report at the swim start and are in the right wave
  • Take note of their bib numbers
  • Count participants in and out of the water
  • Direct participants towards transition
  • Ensure participants start the race only after the horn has sounded
  • Manage safety of participants in line with the Surf Life Savers.

10 volunteers.
Report to Swim Manager.

Bike Marshal

  • You must ensure all competitors turn at the right spot on the course
  • Record their number as they go past you as a double check to ensure there is no cheating on the course. Report any participant who did not follow the course
  • Advise cyclists to stay within traffic cones at corners. Keep any wandering spectator or pedestrian out of the bike course and control pedestrians crossing at designated points
  • Alert medical staff should anyone need medical attention
  • Assist and work with uniformed officers directing traffic onto the course.

30 volunteers.
Report to Cycle Manager.

Run Marshal

  • You must ensure all competitors turn at the right spot on the course.
  • Record their number as they go past you as a double check to ensure there is no cheating on the course. Report any participant who did not follow the course
  • Advise runners to stay within traffic cones at corners. Keep any wandering spectator or pedestrian out of the run course and control pedestrians crossing at designated points.
  • Alert medical staff should anyone require medical attention
  • Keep pedestrians off the course.

20 volunteers.
Report to Run Manager.

Drinks Marshal

  • Ensure all competitors have drinks available to them during and after the race at various points along the course and at the finish line
  • Ensure there are adequate drinks at the allocated drink stations and continuously refill drinks, whenever necessary
  • Hand out drinks to the participants in a safe and professional manner as to minimise disruption to their race
  • Ensure area around the drink station is free of used cups & bottles and undertake to clear as much used cups & bottles away from the race course as possible
  • Pack unused drinks back into the cartons and place them at the side of your drink station.

10 volunteers.
Report to Run Manager.

Transition Marshal

  • Guiding competitors safely around the course in and out of transition and giving encouragement and motivation along the way
  • During the Race: direct participants out the appropriate exits at the transition area. Keep any wandering spectators out of the transition area
  • Assist with pack down of transition ensure only participant with body number take matching bike number
  • After the Race: Continue to keep any non-participants out of the transition area - the most important task at this point is to check participants who are leaving to make sure that they are leaving with the correct bike. The bikes will have numbers on them and the participants will still be numbered. Simply match up the numbers. Make sure everybody leaves with his or her own bike.

Report to Event Manager.

Finishing chute/
Recovery area

  • Assist the MC to identify coming participant's race number and name
  • Cut fruits and fill cups of water / hydrating fluid
  • Direct all competitors towards the recovery area
  • Cheer and support all participants as they approach the finishing line
  • Assist in removing the timing chip from every participant at the finishing line and pack them in the allocated boxes.
